What data do we hold for each member?

Name
Postal address
Telephone number(s) Email address (if applicable)
Subscription information (eg. standing order details, if applicable)
Gift Aid statement (if applicable)
This information is provided by each Society member

Who holds this data?

Membership Secretary
Treasurer

How is it held?

Digitally, on the private computers of the Membership Secretary and Treasurer; occasional printed copies are made, but these are not shared with other people.

Why do we hold this data?

For subscription purposes.
Postal addresses are also used as the basis of the mailing-list (used for the Eastbourne Local Historian and to send members statutory information).
Email addresses are also used for occasional contact with members.

Who do we share it with?

Contact details may be shared with Committee members on a need-to-know basis.
Contact details may be shared with ELHS members and outsiders only with the explicit consent of the person to be contacted.
Under no circumstances will we sell or pass on your data to other organisations, unless required to do so by statutory bodies such as HMRC (for Gift Aid information) or the police.

How long do we hold this data?

Up to 5 years after an individual has ceased membership.
In the event of the dissolution of the Society, members' names and contact details will not be passed on to any other organisation.

How do I amend or withdraw consent?

You may amend or withdraw your consent to us using your details at any time, by contacting the Society's Membership Secretary:
